What is the difference between a seat, a user, and an admin in e.tool?
This article explains what a seat, a user, and an admin are in e.tool, and how they relate to each other.
In e.tool, seats, users, and admins describe three different things: your licence, the people with an account, and who manages the account. A user and a seat are separate – a user can exist without holding a seat.
Seat
A seat is the licence that gives a user full working access to e.tool, including creating projects and clients, uploading data, and generating reports. The number of seats in your subscription determines how many users can work in e.tool at the same time. Seats are the commercial unit of your subscription.
Seats are not tied to a specific user. You can have more users than seats, and you can move a seat from one user to another whenever you need to. For example, if you have ten users but five seats, five users can work actively at any one time, and you can reassign a seat to a different user as your team changes.
User
A user is a person with an e.tool account. A user can exist with or without a seat:
- A user with a seat has full working access, based on your subscription level (see below).
- A user without a seat keeps their account and can still view their previous projects, but cannot create new projects, upload data, or make changes until a seat is assigned to them again.
This means you can move seats between users without deleting accounts. If a team member goes on leave, for example, you can reassign their seat to someone else for that period. The original account remains in place, and the seat can be reassigned when they return.
What a user with a seat can do depends on your organisation's subscription level:
- Viewer – read-only access. A Viewer can see shared projects and view, adjust, and print reports, but cannot create projects or clients, or upload data.
- Pro – full operational access. A Pro user can do everything a Viewer can, plus create projects and clients, share and clone projects, upload data in bulk, request single missing products, and fully customise reports.
- Enterprise – everything in Pro, plus requesting missing products in bulk from a file and API integration.
Admin
An admin is a user with additional rights to manage the organisation's e.tool account, including deciding which users hold a seat. An admin does not need to hold a seat themselves. This makes it possible for one person to manage access for the whole organisation – for example, assigning and reassigning seats – without taking up a seat that a working user needs.
Admins manage this in the Partner Admin area, where account settings, users, seats, billing, API, and data-source preferences are managed. Admins can assign and reassign seats between users directly, without contacting Rejoose. A standard user does not see these settings.
